Overview

The IT systems (data, software & infrastructure) are playing more and more important role in the contemporary business. IT is heavily influencing the efficiency of any business on both sides: revenue and costs. It’s hard to imagine effective, competitive and sustainable organization without well-aligned business and IT on all activity levels. Additionally, IT also plays an important role on both short- and long-term business perspectives. For example, in the process of introducing of digital products or business decisions relying on the ability to analyze complex and big datasets.

Outside world also generates new challenges. Many authorities have started to introduce various regulations, such as SOX, AML, GDPR etc. , and this fact forces business entities to use dedicated IT systems.

To fulfill such demand, each organization needs to create a set of guidelines and rules driving decisions about IT called ‘IT Governance”. The implementation of IT governance requires the creation or modification of existing rules, processes, roles and responsibilities, as well as selection and implementation of tools. We should also expect changes within the IT Organization itself.

IT Processes & Governance encompases the following areas:

The level of investments in IT is constantly increasing in a company’s budgets, therefore organizations pay more and more attention to use it in the most efficient way.

Challenge

The old approach, where IT was mainly perceived as the back-office support and the cost factor, is nowadays gone. At the present time, the IT department in most organizations has become an important partner for business or even a source of competitive advantage. The proper alignment of business and IT on all cooperation levels requires a new strategic thinking about such cooperation. Despite its importance, the implementation of IT Governance is still encountering significant challenges since there is a need to:

  • overcome typical silo organizational view and looking at IT organization from much wider perspective
  • invest significant amount of time and effort before obtaining expected benefits
  • involve and coordinate the effort on all organizational levels (starting from busy C-level, and ending at low-level operations)
  • obtain continuous alignment between business and IT, despite the fast changing, internally and externally, of business and technology environments. IT organization must evolve together with business, and not to limit or slow down the implementation of important business changes
  • recognize and apply the advantages deriving from development of new technologies
  • overcome the lack of one, valid approach how to successfully build the IT Governance into an organization on all required levels
  • take into consideration the fact that each company has its own unique business model and organizational culture
  • follow increased severity and complexity of compliance requirements (even for theoretically simple or small business)
  • adjust and incorporate the good practices related to IT processes (PMI/PMBok, Prince2, AgilePM, SCRUM or SAFE, ITIL) in order to assure efficient operation
  • efficiently manage the increased level of risks related to IT

Solution

Due to significant differences and the lack of universal, robust standards, each company must tailor and implement its own version of IT Governance framework. This could be achieved either internally, by using own resources of an organization, or with the help of external partners, by using their expert skills. An efficient IT Governance (usually in the form of framework) consists of the following elements/activities:

  • properly synchronized (horizontally and vertically) business and IT Processes (strategic, managerial, operational, and others)
  • carefully crafted and implemented set of IT or business rules (requirements, policies, procedures, templates, standards, etc.)
  • implemented set of supporting applications or tools
  • adequate organization that is capable to create and follow elements mentioned above

This will allow to achieve the following:

  • support development of IT Strategy consistent with business strategy
  • prioritize, evaluate and optimize performance of IT solution development initiatives (programs, portfolio, projects, budget & costs)
  • prioritize, evaluate and optimize performance of existing IT solutions
  • predict requirements, detect & correct discrepancies between the current state and the future expectations (including externally demanded standards or compliance rules)
  • select and customize optimal development and maintenance methods based on tested industry standards
  • create, adapt or optimize existing IT processes (considering P3MO model), rules or tools
  • efficiently manage risks and changes
  • optimize IT organization capabilities (roles, responsibilities, skills, tools, etc.)
  • build and maintain business oriented IT culture
  • support organizational knowledge management and innovations
